Where the data goes

Your own machine — and only where you say.

The whole thing runs on the coordinator's own machine — the window, the engine, and the language model that reads the documents. Employee names, birth dates and addresses are read from your systems and written to your disk. There is no account to create, and no upload step to switch off. Where HaiRDocs writes into your HR or ERP system, each write is one document, approved by a person first, and allowed only by your licence.

No personal data leaves for us

No cloud inference and no third-party processor in the path. Filling a form works with the network cable out.

A short DPA, not a negotiation

There is no sub-processor touching personal data, which is the part that usually takes the meetings.

On our own held-out test documents the RF-1401 path fills 96 % of fields and the Helfo path 83 %. Those are internal measurements on synthetic documents, not customer data — and the gap between the two numbers is real, which is why the review screen exists.

What it costs

A licence for the seats, then a rate per form filled

Two components, and no third. You licence the coordinators who use it, and you pay for the forms it actually fills — counted across the year and invoiced once. Nothing is bought up front and there is nothing to top up.

The whole year is priced at the band its volume lands in — not tier by tier. A preview you never complete is not a form, and neither is a fill that failed. The count is kept on your own machine and reconciled with you once a year.

⚠️ Below roughly 3 000 forms a year the licence load makes this close to parity against doing it by hand, and we would rather say so here than discover it together six months in. Ask us to run your numbers before you buy.
